Workflow automation

Many business processes consist of a fixed series of steps: a request comes in, someone checks it, transfers data into another system, sends a confirmation and schedules a follow-up action. With workflow automation we make that entire chain run automatically. We work with proven platforms such as n8n and other no-code/low-code tools, so that the solution remains clear, adaptable and not dependent on a single programmer.

Example: a new enquiry via your website is automatically entered into your CRM, the right colleague receives a notification, the customer immediately receives a well-formatted confirmation e-mail, and after three days without a response a reminder follows automatically.

Software and system integrations

Most SMEs use several systems side by side: a CRM for customers, accounting software for the administration, a web shop or point-of-sale system for sales, and perhaps a planning tool as well. As long as those systems do not talk to each other, you are the connection: retyping, exporting, importing. We connect your systems, so that data flows automatically and without errors from one package to the other.

Example: an order in your web shop is automatically entered as an order and invoice in your accounting software, the stock level is updated and the customer details appear in your CRM, without anyone having to retype anything.

Invoice and document automation

Preparing invoices, quotations, contracts and work orders is necessary, but it is rarely the work you started your business for. We automate the drafting, sending and follow-up of documents. Think of invoices that are created automatically as soon as a job is completed, quotations filled from a standard template with the correct customer details, and approval routes in which a document automatically reaches the right person.

Example: as soon as a technician completes a work order, an invoice is automatically drafted with the correct hours and materials, submitted for review and, after approval, sent to the customer, including payment reminders if the payment term expires.

AI chatbots & virtual assistants

A large share of the questions your business receives is predictable: opening hours, delivery times, the status of an order, frequently asked product questions. A well-configured AI chatbot answers those questions instantly, day and night, in natural language and, if desired, in multiple languages (Dutch, English, German, French). Complex or sensitive questions are neatly handed over to a member of staff. In addition, we deploy virtual assistants for lead qualification on your website and for internal support, such as making knowledge from manuals and procedures quickly findable.

Example: a visitor asks a question about your services in the evening. The chatbot answers the question, asks follow-up questions about the visitor's situation and places the details of this warm lead in your CRM, so that you can follow up in a targeted way the next morning.

Data and reporting automation

Good decisions start with up-to-date figures. In practice, however, compiling reports often takes hours: exporting data from different systems, merging it in a spreadsheet and updating it manually. Custom API integrations

Not every integration exists off the shelf. Do you work with industry-specific software, an older package or a system that offers hardly any standard integrations? We document the integration clearly, build in error handling and notifications, and make sure the solution remains maintainable in the long term.

Example: your industry-specific planning software has no standard integration with your accounting package. We build a custom integration that automatically prepares completed jobs as draft invoices, including checks for missing data.

What it delivers: your specialised or older software also takes a full part in your automated processes. You do not have to switch away from a trusted package in order to automate.
